Custom RSVP website and guest registration system South Africa
Designed for your event

Not a generic form with your logo placed at the top.

AFRIREG creates responsive RSVP websites and connected guest databases that reflect the identity of each event. Every solution is planned around the guest categories, information requirements, communication schedule and arrival experience that matter to your organisers.

Your RSVP system is designed as part of the event itself. The domain, invitation, website, form questions, confirmation, guest database and arrival credential all support the same brand experience.

  • Focused events with approximately 100 invited guests
  • Conferences and corporate functions with several hundred guests
  • Large event programmes with 1,000 to 5,000 plus guests
  • Single function and multiple function attendance choices
  • Invited guest, public registration and mixed registration models
  • Direct integration with AFRIREG onsite event registration
One connected RSVP system

Everything required before the guest reaches the venue.

AFRIREG combines software development, database planning, communication technology and live event experience. This means the RSVP journey is built with the final arrival process in mind from the first day of the project.

01

Custom event domain

AFRIREG registers and configures a dedicated event domain, subject to availability. A clear address based on the event name gives guests a recognisable destination and makes the invitation, website and confirmation feel like one trusted experience.

02

Responsive branded website

The public facing RSVP website is custom coded to match the supplied event artwork, corporate identity, typography, colours and content. It is designed for phones, tablets and computers so guests can respond on the device that is most convenient for them.

03

Purpose built database

We create the required database tables on the event server and map the approved guest fields before invitations are released. This gives each guest one structured profile for their contact details, response, event choices, travel requirements and communication status.

04

Unique guest links

Every invited guest can receive a personal RSVP link. The link can open the correct record, reduce repeated data capture and allow approved information to be viewed or edited until the organiser closes registration.

05

Conditional guest journeys

Different categories can follow different paths. A contestant may be asked for flights and competition information while an attendee moves directly to event function selection. Speakers, media, VIP guests and staff can each receive the right questions.

06

Guest communication

AFRIREG can design and send approved invitations, save the date messages, confirmations, deadline reminders, non responder follow ups, venue details, final reminders and selected logistical updates through a professional communication platform.

07

Live client dashboard

Authorised organisers receive a password protected dashboard showing the guest list, response progress, selected functions, outstanding responses, communication activity and export tools. The dashboard is planned around the information your event team needs to act on.

08

Onsite registration connection

The confirmed guest list can flow into the onsite touchscreen registration system. Guests can scan a QR code or barcode, search for their name, confirm their identity and print the correct full colour badge within seconds.

A dedicated event address

Why use a custom RSVP domain?

A dedicated domain such as an address based on your event name immediately tells the guest where they are going. It supports confidence because the web address, event branding and invitation subject all relate to the same event instead of sending the guest to an unfamiliar generic form.

AFRIREG can register and configure the domain, subject to availability, connect it to the event website and prepare the technical records required for professional email communication. The event organiser approves the final domain before registration.

The website is then designed around the supplied corporate identity, event artwork and approved information. Guests see a considered digital experience that feels official, clear and relevant from the moment they open the invitation.

Custom front end and back end

Built around the information your event actually needs.

The guest sees a simple, polished form. Behind it sits a structured database, validation rules and conditional logic planned for accurate communication, event access and reporting.

01Plan

We review the guest categories, event functions, required data, communication schedule, approval rules and onsite needs before development begins.

02Design

The responsive website is styled around the event look and feel supplied by the client, including approved artwork, content, logos, colours and important event information.

03Build

AFRIREG codes the guest facing pages, secure administration tools, database tables, unique invitation links, field rules and conditional pathways required for the event.

04Test

We test the RSVP journey across common phone and computer screen sizes, review database results, validate confirmation messages and confirm the organiser dashboard before launch.

05Invite

The approved guest list is imported and invitations are sent through the agreed communication plan. Responses, changes and campaign activity become visible to authorised organisers.

06Connect

The final guest database is prepared for touchscreen check in, QR or barcode scanning, badge printing, live attendance and post event reporting.

Conditional guest journeys in practice

Ford Skills Contest 2026.

For the Ford Skills Contest 2026, AFRIREG planned a customised RSVP journey around a guest list of approximately 100 people. The website needed to identify whether each person was attending as a Contestant or an Attendee because those groups required different information and event choices.

Guests selecting Contestant were shown the relevant flight and travel information section before continuing to the event attendance options. Guests selecting Attendee bypassed the flight section and proceeded directly to the event choices. This kept the form relevant while still storing every response against the correct individual guest profile.

Each guest could select the approved attendance package that applied to them. The options were Welcome Dinner; Welcome Dinner and Skills Contest Event; or Welcome Dinner, Skills Contest Event and Awards Evening. Those choices helped determine the functions for which each guest was registered and authorised.

The same structured journey could also capture dietary needs, accommodation, travel details and other event logistics once approved. This is the value of a custom system: the registration logic follows the event plan instead of forcing the event plan into a standard form.

Mailchimp integration

Relevant communication for every guest group.

AFRIREG can connect the RSVP website and event domain to Mailchimp through an approved integration. This creates a more controlled communication workflow and gives organisers useful campaign information without maintaining disconnected mailing lists.

Why the connection matters

A professional bulk communication platform supports consistent branded emails, organised contact records and stronger delivery management than sending a large guest invitation from an ordinary mailbox. Domain configuration also helps receiving systems understand that the communication is authorised for the event domain.

Delivery can never be guaranteed because every recipient organisation controls its own email security, but correct domain setup, approved lists and a recognised campaign platform provide a professional foundation for event communication.

The RSVP result can update the guest record and trigger an automatic response. A confirmation email can repeat the approved selections, share important event information and provide the unique QR code or barcode that the guest presents on a mobile phone when arriving.

Communication sequence

  • Initial invitation with a unique RSVP link
  • Save the date communication
  • Automatic RSVP confirmation
  • Reminder before the response deadline
  • Follow up to invited guests who have not responded
  • Event date, time and venue reminder
  • Final do not forget communication
  • Approved travel, accommodation or programme updates
Tags, segments and automation

Send the right update to the right people.

Large guest lists should not receive the same message when their arrangements are different. Mailchimp tags and RSVP database fields allow the communication plan to reflect the choices each person made.

Useful communication examples

A guest who requested an Uber voucher can receive the voucher and collection instructions without that message going to the full database. Contestants who supplied flight details can receive a travel specific update. Guests booked into accommodation can receive hotel check in information, while dinner only guests receive the details relevant to that function.

Tags can also separate speakers, sponsors, media, VIP guests, staff and participants. The organiser can therefore approve focused messages that are easier to understand and less likely to hide the important instruction inside unrelated information.

Automated responses

When a guest completes the RSVP form, the system can record the response, apply the approved status and send a confirmation without waiting for manual administration. The confirmation can include the guest name, selected functions, venue details, QR code or barcode and instructions for making permitted changes.

Automation also helps identify invited guests who have not yet responded. Reminder groups can be prepared from the live status instead of manually comparing spreadsheets after every send.

Password protected administration

A live RSVP dashboard for the client team.

The client dashboard gives authorised organisers a current operational view of the registration programme. It is responsive so the agreed information can be reviewed on common phones, tablets, Windows computers and Mac computers.

Dashboard access can be limited to approved users. Sensitive fields such as identity numbers can be hidden or masked in routine views, while database permissions and export access can be planned around the people who genuinely need the information.

Where campaign tracking is enabled and supported by the recipient environment, the dashboard can show available Mailchimp information such as who was included in a campaign, delivery status, opens, link clicks and relevant timestamps. Open tracking is an indicator rather than an absolute measure because privacy settings and email systems can affect the result.

Managed hosting and security

Fast, controlled infrastructure for a live event.

The RSVP system is hosted within an Xneelo managed server environment selected for dependable South African event delivery. We do not place the experience on a low cost generic form page or treat it as an afterthought on an unrelated website.

Performance and reliability

A responsive RSVP site needs to load quickly when a campaign sends many guests to it at the same time. AFRIREG plans the website, database and hosting together, optimises the pages for common mobile connections and tests the guest journey before the invitation is released.

The custom domain is secured with HTTPS and the system is maintained through the agreed event period. Hosting configuration, backups and technical monitoring are managed according to the project scope and the requirements of the event.

Data protection by design

We collect the fields approved for the event, restrict administration access and structure the data so it can be used for the stated registration purpose. Sensitive information can be masked in dashboard views and access to downloads can be limited.

The organiser and AFRIREG agree the purpose, access, retention and removal process for the guest data. This supports responsible handling under South Africa's Protection of Personal Information Act while recognising that the event organiser remains responsible for the lawful basis and instructions for its guest information.

From response to arrival

The RSVP database becomes the onsite guest list.

AFRIREG can prepare the confirmed database for the digital event check in system instead of creating another disconnected list. The guest arrives, scans the QR code or barcode from the confirmation, or searches for their name by entering a few letters on a touchscreen kiosk.

After confirming the correct record, the connected printer can produce the approved full colour name badge within seconds. The arrival timestamp updates the live attendance dashboard so event managers can see invited guests, walk ins, attendance volume and progress while the event is running.

Post event exports can include the approved guest details, RSVP choices, arrival status and agreed timestamps. The output can be supplied in Excel and CSV formats aligned to the required database fields.
