Start with the busiest arrival window
Conference and event guests often arrive at a similar time shortly before the programme begins. AFRIREG therefore plans for the concentrated morning registration rush rather than dividing the guest total across the full event day. The percentage expected in the busiest 15, 30 and 45 minutes is one of the most important planning figures.
Use a practical capacity guideline
For a fast arrival period of approximately 30 minutes with minimal queues, AFRIREG normally recommends one touchscreen registration kiosk for every 50 guests. If the event has a relaxed arrival window and no tight time constraints, one registration kiosk setup for every 75 guests may be suitable. The final recommendation also considers badge printing, guest categories, entrance width and venue layout.
Measure the complete guest transaction
Scanning a QR code or finding a guest by entering a few letters can take only seconds. The full transaction also includes confirming the correct record, printing the full colour double sided name badge, collecting it, folding it and attaching the lanyard. Capacity must be balanced across every stage so a fast touchscreen does not simply move the queue to the printer or badge collection table.
Separate invited guests from exceptions
Guests who are already on the database should have a direct search or scan route. Walk ins, spelling changes, substitutions, accessibility needs and VIP queries should move to a clearly identified assisted route. This protects the speed of the main registration flow while allowing every guest to receive the right level of help.
Include staffing and technical resilience
Onsite promotional staff can guide guests, fold badges, attach lanyards and keep the collection area moving. AFRIREG technical staff monitor the kiosks, computers, printers, ink, badge stock, network and live database throughout registration. Spare capacity and backup equipment are especially important when several hundred guests arrive together.
Use live data to adjust the operation
A responsive administration dashboard gives event managers a live view of total attendance, invited guest arrivals, walk ins, completed badge prints and guest traffic per hour. This allows the team to move staff, open additional capacity and respond before a small delay becomes a visible queue.
