Prepare the guest database before doors open
Your existing RSVP provider can remain in place. The client shares an export of the approved guest database and AFRIREG replicates the required tables, rows and field structure for onsite registration. Clean names, correct guest categories and clear QR or barcode credentials reduce avoidable questions when everyone arrives.
Make the invited guest journey as simple as one, two, three
The guest searches for their name by entering a few letters or scans a QR code or barcode. They confirm the correct record and their full colour double sided name badge prints within seconds. Promotional staff fold the badge, attach the lanyard and guide the guest into the event.
Create visibly different routes
Invited guests should not wait behind walk ins, corrections or complex enquiries. Clear signs and hosts should direct each person to the correct touchscreen, assisted counter or approval desk before they join a queue. A passcode controlled walk in process can also require a senior team member to approve access before the new guest is added.
Balance touchscreens, printers and people
A fast kiosk connected to an overloaded single printer simply moves the bottleneck. AFRIREG models the complete journey and balances touchscreen capacity, print speed, badge stock, folding, lanyard attachment and collection space. For a concentrated 30 minute rush, one touchscreen registration kiosk for every 50 expected guests is a useful starting guideline.
Design the physical registration zone
Equipment placement has a direct effect on throughput. Guests need space to approach the kiosk, collect the printed badge and move away without crossing the next person. Power, networking, signage, printer tables, walk in capture and technical access should all be included in the venue plan.
Watch the live dashboard
The organiser can view the loaded guest list, total attendance, invited guest arrivals, walk ins, print totals and guest traffic per hour on a responsive live dashboard. This information helps the onsite team make quick decisions while they can still improve the guest experience.
Keep a clear post event record
After the event, AFRIREG supplies the full Excel spreadsheet and CSV export in the required format with guest data and timestamps. Because the return structure can match the original database fields, the client can reconcile or import the completed information back into their own system.
